# How we run your projects

## What you get

- **A named point of contact.** Tony Ellis, our Customer Success Manager, owns your account day to day. You always know who to call, and it's the same person next quarter.
- **Access to the live project board.** Every task, owner and due date, in the same tool we use internally. Open it whenever you like instead of emailing for an update.
- **A written weekly status.** What shipped, what's next, what's blocked and what we need from you. Short enough to read in two minutes, honest enough to act on.

## How we do it

1. **Kick-off and scoping.** Adam La Cioppa, our Managing Director, and your account lead sit down with you to agree deliverables, dates, budget and what "done" means. That scope becomes the document every later conversation refers back to.
2. **The work goes on the board.** We break the scope into tasks in Productive, the project tool we run the studio on, and give you access. Every task has an owner and a due date. If it isn't on the board, it isn't happening.
3. **Weekly cadence.** Every week you get a written status: shipped, in progress, blocked, needed from you. Day to day, questions go through a shared Slack channel or email, whichever your team actually uses, and get answered within a business day.
4. **Staged review.** Work comes to you for sign-off at agreed checkpoints, not as a big reveal at the end. We consolidate your team's feedback into one actioned round, so revisions converge instead of circling.
5. **Ship, then report.** We confirm what went live against the original scope, and monthly reporting shows what it's doing. When something slips (it happens), you hear it from us first, with a new date, rather than finding out from a missed deadline.

## FAQ

**Who will actually manage our account?**

A named person — Tony Ellis, our Customer Success Manager — backed by the directors doing the work: Adam La Cioppa and Jordan Parrello stay on your account rather than handing it to a rotating junior team. We're a small senior team by design. The person in your kick-off meeting is the person answering your emails in month six.

**How do you keep projects on time?**

Dates are agreed at scoping, every task carries one on the board, and the weekly status surfaces anything drifting while there's still time to fix it. Most delays are really decision delays, so we tell you exactly what we need from you and when. When something does slip on our side, you get a new date from us before the old one passes.

**What happens when the scope changes?**

It goes in writing first. You get the cost and schedule impact of the change before we do the work, and you decide whether it's worth it. Sometimes the answer is to swap something out of scope rather than add budget. What never happens is discovering the change on your invoice.

**What does project management cost?**

Nothing as a separate line. Running the work properly is part of the work, so it's built into every project quote and retainer — you won't find "account management" itemised on a Gudu invoice. If an agency quotes it separately, ask what the base fee buys.

**Can you work alongside our in-house team or other agencies?**

Yes, and most of our engagements do. Southern Phone runs in-house people and multiple partners around us; the board and the weekly status keep everyone working from the same list. We're comfortable not owning everything — we'd rather be the team that makes the whole machine run on time.

**How do we judge an agency's project management before signing?**

Ask three things. Who your contact is, by name, and whether they'll be in the room before you sign. What a status update looks like — make them show you a real (anonymised) one. And whether clients stay: retention is the one project management metric that can't be faked. Ours is 98%, and Southern Phone has been here since 2021.
